This privacy policy stipulates the principles of personal data processing of customers, representatives of cooperation partners, visitors, and other natural persons (hereinafter – data subjects) of OÜ NG Logistics (hereinafter – NG Logistics) (hereinafter – privacy policy).
NG Logistics processes personal data provided to NG Logistics through the website www.nglogistics.ee (hereinafter – website) or in other ways within the framework of this privacy policy, with the aim of ensuring, above all, high-quality customer service and a smooth recruitment process.
For the purposes of this privacy policy, personal data is any information that can be used to identify individuals. It is important for us that the persons who use the recruitment system of the NG Logistics website (hereinafter – the system) and the contact method (hereinafter – the users) feel safe and know how the company processes users’ personal data during the recruitment process and when contacting the company. We strive to ensure that we maintain the highest standards in the protection of personal data.

Data processor
Data processors are employees of contractual partner companies who process personal data in accordance with the rules set forth in this privacy policy. These are persons working in specific positions who deal with the processing of personal data on a daily basis and have received instructions on the processing of personal data. Employees who do not have a direct need to process personal data do not have access to personal data provided by users.
Purposes of the processing of personal data, collection, and processing of personal data
Objectives
NG Logistics processes, uses, stores, and protects (hereinafter – processes) personal data, the purpose of which is:
- Answering inquiries and other questions;
- Dealing with claims and complaints;
- Use of personal data received during the recruitment process;
- Protection of NG Logistics property (organization of debt management, prevention and investigation of theft, fraud, vandalism, and other violations and accidents in the territory of NG Logistics, processing of various legal claims);
- Protection of persons staying on the territory of NG Logistics (prevention and investigation of thefts, frauds, vandalism, and other offenses and accidents, as well as processing of various legal claims).
Personal data processed for aggregate analysis or market research purposes are always anonymized. Such personal data cannot be used to identify a specific user. Therefore, this data is not considered personal data.
Collection of personal data
NG Logistics collects personal data primarily from statements, questionnaires, correspondence, conversations, etc., made by the data subject.
In addition, data is generated when you visit the territory of NG Logistics, use the service, form contracts, follow NG Logistics on social media, comment on posts published there, etc.
In particular, in the recruitment process, we may also collect personal data from third parties, e.g., recruitment service websites and public sources.
In the event that existing employees recommend potential candidates, the processor processes personal data about potential candidates. The potential candidate is treated as a user in the context of this privacy policy and is informed about the processing of personal data by the controller.
The user agrees that NG Logistics may collect publicly available information about the user and store it for employment purposes in the recruitment process.
Processing of personal data
Personal data to be processed
On the website or using any other source, the user can transmit the following data, which is processed by NG Logistics:
- Name and surname;
- email address:
- phone number;
- comments added by the user.
In the application process, in addition to the previous data, the following may be collected:
- CV and/or resume;
- other application documents;
- photos and videos;
- data from social media accounts;
- answers to questions asked during recruitment;
- previous positions;
- acquired education;
- other information provided by the user.
Only data relevant to the recruitment process is collected and processed. By transmitting personal data, the user agrees to their processing for the purpose specified in the privacy policy.
Video surveillance is used in the territory of NG Logistics to protect persons and property. With this, we ensure a safe stay environment for both our employees and the persons who visit us. It is also important for us to prevent fraud and detect violations in order to protect the property of both data subjects and NG Logistics.
NG Logistics is the responsible processor of the video recording resulting from video surveillance and the personal data (personal image) processed in the video recording. The company providing the security service is the processor. All video recordings can only be accessed by persons who have the right to view the video recordings based on their work duties. As part of video surveillance, no audio is recorded.
Storage and transmission
We store and process your personal data throughout the recruitment process. If the candidate agrees to receive job offers in the future, we may store users’ personal data for up to 12 months after the transfer of data.
If you, as a user, do not want your personal data to be processed, you can withdraw your consent at any time through info@nglogistics.ee. Exercising this right may, however, mean that the user cannot apply for a specific job in the application process or otherwise use the service.
When contacting the company about inquiries, claims, and other issues, the data will be stored in the NG Logistics information system for up to 12 months after their transmission.
As a rule, video recordings are stored for up to 30 calendar days unless the need for longer storage is related to an ongoing procedure related to the protection of persons and property or is due to a longer-term stipulated by law.
Information about the user
User rights
Users have the right to request information about personal data processed by the company by notifying the company in writing. Users have the right to receive one copy of their processed personal data free of charge. If additional copies are requested, the person in charge has the right to charge a reasonable fee to cover the associated administrative costs.
Users have the right, if necessary, to correct incorrect personal data about themselves by informing the company in writing and submitting a request to delete their personal data.
In order to ensure the security of personal data processing, your application must be digitally signed.
NG Logistics has the right to respond to the data subject’s request within 30 days of receiving the request. NG Logistics has the right to reject the request if the identity of the data subject cannot be established or the data subject’s requests are clearly unfounded or excessive, especially due to their repeated nature. NG Logistics has the right to refuse to satisfy your request to limit the processing of personal data or to delete personal data if the obligation to process personal data results from a valid contract law or is necessary to prepare, present, or defend legal claims in connection with the protection of persons and property. If we are unable to satisfy the data subject’s request, we will notify the reason for the refusal without delay and no later than 30 days after receiving the request.
Data subjects have the right to file a complaint with the supervisory authority about the processing of personal data related to them if, in the user’s opinion, the processing is contrary to personal data protection regulations.
Security
Personal data is processed securely in accordance with this privacy policy, current legislation, and best practices.
We implement appropriate technical and organizational measures to ensure an adequate level of protection of personal data and other private information in order to protect data from accidental or unlawful destruction, loss, alteration, unauthorized disclosure, use, or unauthorized access. We demand the same from our cooperation partners to whom we transfer personal data.
We point out that from the point of view of secure data transfer, it is important that the data subjects themselves behave responsibly and protect their data.
Transfer of personal data to third parties
In certain cases, NG Logistics inevitably needs to transfer personal data to third parties. We have categorized such third parties as follows:
- Independent controllers:
- banks and providers of payment or financial service;
- auditors and lawyers.
- NG Logistics provides services from cooperation partners who process personal data on behalf of NG Logistics and may use personal data only for the provision of services agreed with NG Logistics in limited cases. Such cooperation partners are:
- Providers of ICT services (including software maintenance and support services);
- company providing security services;
- companies providing other support services (e.g., accounting, legal assistance, marketing).
We have concluded agreements with all cooperation partners to whom personal data is transferred on keeping personal data confidential, and appropriate information security measures are implemented (for example, encrypted connections, limited access rights, storage of logs, etc.).
- Public authorities and supervisors, such as the Data Protection Inspectorate, the court, the police, or the prosecutor’s office, to whom NG Logistics transmits personal data only if required to do so by law.
NG Logistics generally does not transfer personal data outside of Estonia, the European Union, or the European Economic Area, as well as to a third country or an international organization whose level of data protection has not been assessed by the European Commission to be sufficient. If it is still necessary, such transfer of personal data takes place only if there is an appropriate legal basis and NG Logistics takes appropriate protective measures. In general, data is transferred to third countries whose level of data protection has not been assessed as sufficient, based on the standard data protection clauses adopted by the European Commission.
Cookies
When users use the NG Logistics website, information about their use may be stored in the form of cookies. Cookies are passive text files that are stored in the web browser of the user’s device (e.g., computer, mobile phone, or tablet) while using the service. We use cookies to improve the user experience of using the service and to collect data about it, e.g., service usage statistics. This is done to protect, administer, and improve the service.
